OTOBO 11 and the upcoming CMDB 11 create the foundation for tighter integration between asset management and ticketing – and thus provide the best prerequisites for exceptional service delivery in IT and beyond.
New Features
BOOST FLEXIBILITY
New dynamic fields deliver more horsepower under the hood
New dynamic fields and field functions offer a significant boost to flexibility.
- Via script fields, OTOBO 11 can evaluate conditions using logical operators or perform calculations. For example, to ensure that orders comply with budget guidelines or determine the warranty status of products. The result can be displayed in the ticket, trigger follow-up processes, or affect the visibility of fields.
- DynamicFieldSet accelerates the configuration of complex formulas: Multiple dynamic fields can be combined into a set and inserted as a fixed element at different locations in the same constellation – for example, the combination of first name, last name, and address.
- MultiValue enhances the ability to dynamically add or remove fields or sets at runtime via ⊕ | ⊖, such as capturing multiple items with quantity and price.
- References provide the ability to directly access OTOBO objects such as Agents, Customers (users), Tickets, CIs, and CI versions via dynamic fields, allowing for seamless navigation between customer management and CMDB, and vice versa.
- In combination with lens fields, you can even access attributes within referenced CIs. For example, you can directly update the hard drive of a computer linked to a ticket in the CMDB from a procurement process.
- The new dynamic field General Catalog enables centralized list management and parallel deployment in various forms. The Rich Text Field allows for formatting descriptive texts, and the Attachment dynamic field enables adding attachments.
- Filter functions, namespaces, and a YAML editor for configuring ticket masks simplify administration and provide additional flexibility.
COMPACT AND TRANSPARENT
Smart ticket masks, adaptable and high-performing
In OTOBO 11, ticket masks can be defined even more individually.
- Dynamic fields can now be displayed in different masks with varying orders and individual labels.
- Multicolumn capability: Dynamic fields can be arranged in a grid with any number of columns.
- MultiValue: Dynamic fields and sets can be added or removed dynamically at runtime using ⊕ | ⊖.
- Read-only: Display fields in selected masks with pre-defined values, e.g., to provide information from previous process steps as a reference without allowing further changes.
- All new ticket mask functionalities are also available in process tickets.
COMFORTABLE AND TRANSPARENT
Manage translations easily through the admin interface.
With OTOBO 11, maintaining multilingual systems becomes significantly more comfortable.
- Individual translations are now maintained directly through the admin interface instead of in hidden system files.
- Comfortable filter and display options provide the ability to specifically search for untranslated elements in the system.
- Import/Export: Terms can either be translated directly in the interface or exported to an Excel list, translated, and then imported back in.
Enhancements
Editing Internal Articles
- Finally tidy tickets and still revision-safe: With OTOBO 11, you can edit and delete internal articles retrospectively. This means: Tickets remain transparent and are always up-to-date. The individual editing steps are stored in versions on the ticket.
CKEditor 5
- State of the art: The new CKEditor 5 is introduced with the OTOBO 11 beta.
Quick Time Buttons
- Practical: Use individually configurable Quick Time Buttons to extend or shorten ticket waiting times by pre-configured time periods – e.g., by 1 week.
Customer Info Tile
- Versatile: Customer Info Tile – A rich-text tile for the customer area that can be customized and filled via the admin interface. Offers the possibility to maintain and display parallel notes from different areas and can be supplemented with a news ticker for particularly urgent messages, which is displayed throughout the entire customer area.
Approval Buttons and Dynamic Field Display in Processes
- Intuitive Workflows: Accept/Reject buttons in processes and direct confirmation of process steps without detours via pop-ups. Plus: The Hide-Show functionality for dynamically showing or hiding fields at runtime is now also available in processes.
Marking Tickets as ‘Read | Unread’
- Maintain Overview: Manually mark tickets and articles in tickets as read/unread.
Suspend Time Tracking
- Increase Efficiency: Mandatory time tracking can be suspended for certain actions. This means that creating empty notes to track time units is no longer necessary.
‘Next Status’ Setting
- Always one step ahead: Templates now offer the possibility to directly define the next ticket status.
Display of Ticket Information in Self-Service Portal
- Service portal: Ticket information can always be displayed via SysConfig. Preparation for displaying CMDB information in the customer area (as of CMDB 11).
Hiding Invalid Elements
- Overview in Administrator Interface: Invalid elements are now hidden by default. Individual adjustment of the setting is possible via checkboxes.
Delegating Restricted Administration Rights
- LightAdmin functionality: Make specific elements of the admin area selectively accessible to other user groups, e.g., to enable departmental management of their own salutations, signatures, and templates.
Kerberos for Web Services
- Kerberos authentication for web web web are2019) is now available.
Preparations for the Configuration Management Database (CMDB)
- A series of preparations for the revamped CMDB have been made.
Reporting
- Statistics can now be defined at the article level.
